View a list of supplies low in stock


You can run a report that warns you of supplies that are low in stock. Use the Supply Inventory and Supply Requisition feature to help keep track of supply quantities. The Supply Inventory screens allows you to create purchase orders or inventory checklist for supplies that need purchased. Once the supplies have been received you can mark the status as received on the checklist. This will add that quantity to that supply codes “Quantity in stock”. See attached article on how to use this screen.

Use the Supply Requisition screen to create a list of supplies that a patient will need to use. Once those supplies have been taken out of the supply closet the requisition can be approved, taking that quantity out from the “Quantity in stock”. The requisition can be created from Barnestorm Office or Point-of-Care. It can only be approved from Office. See attached article on how to use this screen.

Here are a few steps to getting started:

1) Run a list of supplies from Codes > Rates > Supply Codes. Select how you want the report ran…by Code, Category, etc… Click on Print Info.

2) Review the list of supplies and determine if there are any that you no longer use and mark them as DNU (Do Not Use). Pull up that supply code and click on the DNU button, click on Save. This will keep the supply in the system but will no longer be available to use or show up on reports.

3) From this list take inventory of the quantity that you have on hand.

4) Determine what you want the safety level to be. Once the Quantity in stock is equal to or less than this number, the supply will appear on the report.

5) From Codes > Rates > Supply Codes enter the Quantity in stock and Safety Stock Qty for each supply code. You will need to double click on the Quantity in Stock to activate it.

When you run the Low Stock report from Codes > Rates > Supply Codes it will warn you of any supplies that are low in stock.

Once the supply codes are updated you will need to use the Inventory and Requisition screen to keep the stock numbers updated. You may want to start using the Inventory and Requisition screen first to get use to it. Then do the steps above to update the quantity in stock.
