Common Issues Related to Updating EVV Care Plan


Below is a guide with common issues and misunderstandings on how to process certain functions within the Barnestorm EVV system.

** Number 1 Issue: When to use the stop and copy feature on the care plan 
• When the assigned aide is changing permanently 
• When the patient switches payers
Do not change the Thru date on the care plan.  This will NOT clear out future visits on the app and causes issues with the schedule.

When to edit and recreate schedules
• You found incorrect or incomplete information that needs updated 
• The preferred visit time of day or the day of week is being changed

When to update a single scheduled entry
• When the assigned aide has called off and a fill-in aide will complete the visit instead
X Do not remove scheduled entry to manually add a new entry 
X Do not copy a past schedule and paste in the future 
X Do not use the Recurrence feature on the Schedule Calendar screen

Issues that will be resolved when the above steps are followed correctly: 
• The schedule on the aide's app is not correct. Either missing schedules or duplicate. But the schedule in Barnestorm Office is correct.
• The aide is not able to clock out or view tasks.
• The EVV Visit does not print on the weekly visit note.

TIPS
X Do not manually add schedules from the Aide Schedule screen.  
X Do not copy previously used schedules to past in the future.
